Online registration rolls out in stages, beginning with Kindergarten in April and May, and the remaining grades by August
In order to do online registration you will have to create an account in Power School. To obtain your log in information you can call 569-5384 or 328-2930. The form that you will receive will look like this.
EAGLE, CO Eagle County Schools is excited to announce that it is completing the development of its online student registration system. Parents of all pre-school and new Kindergarten students will be able to complete most of the registration process online starting on Friday, April 4, 2014. Following the online process, parents will be advised to take necessary information, birth certificates, immunization records, and proof of residency, to their school to complete the process.
“This system streamlines an antiquated paper form process,” Assistant Superintendent Mike Gass, said. “Once in the system, parents will only need to update information as it changes from year-to-year. And, if they have more than one child in the system, they won’t have to do multiple entries for each child on common information like addresses.”
The traditional paper process was very labor intensive for registrars. Parents would complete the paper forms, then registrars would manually key the information into PowerSchool. With nearly 6,500 students in the District, it’s easy to imagine the size of this task. The online registration auto-populates the data straight into PowerSchool, and auto-corrects address errors as they are entered. The role of the registrar changes from data entry to data review and collection of required documentation.
“The collection and review of valid identification records cannot be automated,” Gass explained. “By statute, we have to inspect and verify the authenticity of birth certificates and immunization records, but with the new system, these records are scanned and associated with the student through the duration of their student career with Eagle County.”
A staggered roll out of the system is planned to manage challenges that might arise, and parents of new students are asked to complete the online process starting April 4, then plan to attend registration at their schools on specific dates to complete the remaining paperwork part of the process. Computers will be available at all schools for parents without internet access to come in and complete the process. Support staff will also be available on the registration dates to provide assistance.
During this first phase, the online registration information is only available in English. Schools will have bilingual staff members on hand to support native Spanish speakers. By the summer, the system will be available in both English and Spanish.
“Anytime you roll out something this complex at scale, the community should expect a few bumps in the road,” Gass concluded, “So, we ask for patience and understanding for this first year. The system has been tested, refined, and tested again, but we will still have IT staff members on-hand to address the unforeseen problem that might happen.”
Online registration for the remaining grades is expected to be live and available by August 2014, just in time for registration for the next school year. For existing/returning students, current data will be pulled forward into the new system and parents will just review and update for accuracy.
Parents are reminded to bring several important records with them to successfully complete registrations: birth certificates, immunization records, and proof of residency.
